FuneralGuestbook.app (“the App,” “the Service”) is a product of funeral.link, operated by Funeral Link LLC (5900 Balcones Dr, Ste 100, Austin, TX 78731). The App replaces a paper guestbook at a funeral or memorial service: guests sign on an iPad, their handwriting is transcribed into structured contact information, and the funeral home hosting the service keeps that information to follow up with families and attendees. This policy explains what information we handle, how it’s used, and the choices funeral homes and their guests have.
This is a service used by three parties. The funeral home is our customer: they use FuneralGuestbook at their services and receive the transcribed guest records to keep and to follow up with families and attendees. funeral.link is the software vendor: we provide, operate, secure, and improve the App and the technology behind it, and we use guest data — and de-identified or aggregated data drawn from it — both to deliver the Service and, as described below, to develop and improve our products, services, and AI. The guest is the person who signs the iPad and provides their own name, phone, email, and mailing address. Where a funeral home needs a formal data-processing arrangement for its own compliance, one is available on request (see the Terms).
From guests who sign: the contact details transcribed from their handwriting — name, phone number, email, and mailing address — the handwriting itself (kept so a transcription can be verified and corrected), an optional pre-need interest opt-in (only if the guest affirmatively chooses it; never selected by default), and a record of the notice shown and what was consented to. From funeral homes: account and contact details, the service information you enter, and the staff credentials used to operate the kiosk. Automatically: app version, device model and OS, diagnostics, crash logs, and basic usage events needed to run and secure the Service.
We do not knowingly collect Social Security numbers, financial-account credentials, government IDs, precise device GPS location, or health data. A guest's self-written mailing address is not device-derived geolocation. We transcribe the content of handwriting (the words written) — not handwriting geometry or stroke dynamics used to identify a writer — so the App does not collect biometric identifiers. We do not use the iPad's Contacts or Photos to populate guest records; all guest contact data comes from what the guest writes.
A guest writes their details on the iPad, just as on paper. The App captures the handwriting on the device — and may store it there, including while the device is offline, until it can sync — then sends an image of it to a third-party AI provider that processes it in the cloud to convert it into structured contact fields, which are made available to the funeral home in its dashboard and exports. The AI provider processes it on our behalf under confidentiality and data-protection obligations. Transcription is automated and may contain errors, so it can be reviewed and corrected.
Guest contact data serves the funeral home's purposes: keeping a record of who attended, aftercare follow-up with families and attendees, pre-need outreach only where the guest opted in, and a contact list for the family. funeral.link also uses the information we collect — and de-identified or aggregated data derived from it — to operate, secure, support, and improve our products, services, and technology, including developing, training, and improving the AI that powers transcription and the platform, and to meet legal obligations.
We do not sell guest data. We do not share it with data brokers. We do not use it for cross-context behavioral advertising or tracking, and we do not use it to advertise to the funeral home's families.
If you signed a guestbook: your name, phone, email, and mailing address were transcribed from what you wrote, and the funeral home hosting the service keeps them to maintain a record and to follow up with you and the family. Your information is not sold. You can sign the guestbook without opting in to anything beyond leaving your name — pre-need and marketing contact is always a separate, optional choice that is never selected for you. If you do opt in, that follow-up may include automated emails; every marketing email carries an unsubscribe link, and you can opt out there at any time. You can ask to access, correct, or delete your information, or withdraw a consent, at any time: contact the funeral home directly, or email us at privacy@funeral.link and we will route your request to the funeral home and assist.
We share guest data only as needed to provide the Service, and we require recipients by contract to protect it to at least the standard described here. Recipients are: the funeral home (the owner of the data); the service providers that help us run the Service (such as AI handwriting transcription, cloud hosting, and message delivery), each under a written agreement; and, where required, recipients for legal or safety reasons or in connection with a business transfer. Service providers may not use the data for their own purposes.
We retain guest data for as long as the funeral home's account is active and the data is needed to provide the Service, and afterward per the funeral home's instructions and applicable law. On a verified deletion request from a guest or the funeral home, we delete or de-identify the data, except where law requires us to keep it — and we tell you when that applies. A funeral home can delete its account, and the associated guest data we are not legally required to keep, from within the App.
Depending on where you live, you (or the funeral home on your behalf) may have the right to know about, access, correct, delete, or receive a copy of personal information; to opt out of any sale or sharing (we do not sell or share); to withdraw consent to optional uses; and not to be discriminated against for exercising these rights. To make a request, contact the funeral home (the owner of the data) or email privacy@funeral.link, and we will help respond within the time applicable law requires.
We use appropriate technical and organizational safeguards — including encryption in transit and at rest, access controls, and least-privilege staff access — and limit access to what is needed to run the Service. No system is perfectly secure; we maintain an incident-response process and will notify affected parties and the funeral home as required by law.
The Service is intended for adults — funeral-home staff and adult guests. We do not direct the App to children or knowingly collect data from children. If we learn we have collected a child's data without appropriate consent, we will delete it.
We may update this policy. Material changes will be communicated, and the “last updated” date below will change. Continued use of the Service after an update means acceptance of the revised policy.
